Tip: click any hour column to pick a meeting time. The first city is the “home” city – use ↑ to move another city to the top.

How to use the meeting planner

  1. Add every city that will join the call – start typing a city or country and pick it from the list.
  2. Choose the date. Daylight saving changes on that date are handled automatically, so a meeting planned for next month shows next month’s times.
  3. Look for the ★ columns: hours that fall inside working hours in every city. Green is working time, yellow is early or late, dark is night.
  4. Click a column to see the meeting time in every city, copy it, share a link or add it straight to Google Calendar or Outlook.

Tips for meetings across time zones

When there is no overlap at all – for example between New York and Sydney – rotate the inconvenient slot so the same team isn’t always on the late call. Mid-week dates avoid the weekend gap with countries whose working week runs Sunday–Thursday, and always double-check meetings booked across late March, late October and early November, when Europe and North America change their clocks on different dates.

Frequently asked questions

How do I find a meeting time that works for every time zone?

Add all participants’ cities to the planner. Hours that fall within working hours in every city are marked with a star. If there is no star, pick the column with the most green and fewest night hours, and rotate the slot between meetings.

Does the meeting planner handle daylight saving time?

Yes. Times are calculated from the official IANA time zone database for the exact date you choose, so clock changes in any country are included automatically.

Can I share a meeting plan?

Yes. The page address updates as you add cities and pick a time, so you can copy the link and send it to everyone in the meeting. They will see the same plan converted to the same times.

What is the best time for a call between London and New York?

Between 13:00 and 17:00 in London (8:00–12:00 in New York) both cities are inside normal working hours, so early afternoon in London is usually best.
